Administration
The
Bridge admin team consists of Kerry Elliott, Sabrina Smith and Wayne Brewin. We’ve
seen many changes in terms of staff faces, staffing levels and the work this has
generated. Additional staff for us has changed the way we work in order to cope
with demand.
This year, we arranged to have purpose built shelving in our lock up storage
area to accommodate the mass of files that we accumulate during the year. Client
records, finance records and an assortment of older files have been
re-catalogued and stored off site to enable us to have more room in our main
office.
In February, The Bridge employed Kerry Elliott as our senior Administrative
Officer. A fresh face in the office was welcomed and new ideas for our
administrative procedures were accepted. The streamlining of procedures and a
fresh approach to how we work was adopted.
In addition to our archiving, we streamlined many procedures and found more
efficient ways to organize our work flow, this involves displaying information
on computer and notice boards around the office enabling staff to view
information themselves in an easy format. We operate a clear desk policy and
file work away in deadline order when not required so it helps us to ‘see’ how
much work we have at a given time.
We have more technology now, an additional 2 PC’s were purchased to provide for
our new staff and after months of deliberation, we decided to replace our
photocopier for a newer model.
Massive amounts of client information for our housing advice team has been
entered into our information management database and lots of time spent looking
at ways to report on this data to the Bridge Management Committee.
Sabrina Smith was employed in September to provide part time administrative
support for our Supported Tenancy and Resettlement Team.
At Christmas, many people donate items for our annual Christmas Shelter, we
advertise for volunteers to help run the shelter and this involves additional
work to help run things smoothly. This year, we are lucky to have Michael Brown
working with us, he is providing temporary support until January whilst we are
busy.
After this years Shelter and during January, we will be busy archiving our
records, providing reports and implementing plans for 2006. We are looking to
recruit a volunteer who can help maintain our reception area between our opening
hours of 9:30 to 4:30. Our volunteers are kept busy with other important work,
such as, filing, copying and research. This work is essential to our
organisation.
Ideas within the admin team are running at full steam. Over the next year we
expect to develop this website, and internal intranet. Organise even more
information, develop the team and grow as our organisation grows.
